Managing bookings
The booking workflow
From enquiry to confirmed: how bookings move through your admin and how you approve them.
Every booking moves through a simple set of statuses so you always know what needs your attention.
- Pending — a new enquiry awaiting your approval (for items set to 'approve first').
- Approved — you've accepted it; the customer can pay their deposit.
- Confirmed — deposit received (or you've marked it confirmed). It's locked in.
- Completed — the event has happened and the kit is back.
Instant-book vs enquiry
Set each item to instant-book (paying the deposit confirms it automatically) or enquiry (you approve before any charge). You can mix and match across your catalogue — instant for low-risk kit, enquiry for the things you want to vet.
What you get on every new booking
- An email alert to your business inbox the moment it comes in.
- The booking in your admin with the customer's details and items.
- One-click actions to approve, decline, send the booking form, send the hire agreement, and take the balance.
Bookings you take over the phone or by email can be added by hand from Bookings → New, and behave exactly the same from there on.
